Administrative Assistant: Service Learning + Experiential Education

POSITION OVERVIEW
The Administrative Assistant for Service Learning and Experiential Education provides comprehensive administrative and logistical support for programs that extend learning beyond the classroom. This role supports the Director of Service Learning and Experiential Education and plays a key part in executing meaningful, values-driven student experiences. The administrative assistant reports to the Head of Curriculum and Integration.

RESPONSIBILITIES
  • Provide a full range of administrative support including clerical duties, proofing and formatting documents, calendaring, messaging, and digital file management for the Service Learning and Experiential Education team.
  • Coordinate logistics for school-wide and grade-level service learning days, including scheduling, transportation arrangements, supplies, and site partner communication.
  • Liaise with community organizations, nonprofits, and experiential education providers to confirm participation details, distribute materials, and ensure clear communication.
  • Support trip planning and logistics for experiential education programming (e.g., fieldwork, urban explorations, service immersion trips), including meals, transportation, packing lists, and forms.
  • Track and manage data related to student participation, reflections, and program feedback.
  • Assist in planning and executing special events such as Areivut and Ahavat Yisrael Weeks, grade-level seminars, and other values-based initiatives.
  • Collaborate with colleagues across divisions and departments to support a cohesive implementation of service learning initiatives.
  • Help maintain up-to-date communications with students, parents, and staff about experiential learning opportunities and expectations.
  • Support communications and promotion of programs (e.g., signage, digital communications, newsletters).
  • Be a visible and responsible adult presence during service learning activities and off-campus programs as needed.
  • Other duties as assigned.
QUALIFICATIONS
  • Four years of experience as an administrative assistant in a professional setting.
  • Proficiency with Mac, Google Workplace, standard office equipment.
  • Experience working independently and as a highly collaborative team player.
  • Experience operating with and ability to maintain strict confidentiality.
  • Experience planning, prioritizing and leveraging strong organizational skills.
  • Strong interpersonal, verbal and written communication skills and able to interact effectively with a wide variety of people/roles.
  • Strong attention to detail.
  • Ability to work in an office environment with frequent interruptions.
  • Other related duties as assigned.

Hourly Rate: $28.85 - $31.25
